We reserve the right to refuse any bookings. A 30% deposit is due within 3 working days of you making your booking, if the deposit is not received within the specified time your dates cannot be held. The balance is due 6 weeks before the start of your holiday (a reminder will be sent at 8 weeks). If the balance is not paid at 6 weeks we are entitled to unilaterally annul the agreement and retain the 30% deposit as cancellation compensation. If you need to cancel your booking 6 weeks or longer before your arrival date your deposit will be non-refundable. If you cancel within 6 weeks of your arrival date we will only refund the cost of the days that we are able to resell, less your 30% deposit, and for days which we are unable to resell no refund can be given. We recommend that you take out suitable travel insurance.

If you need to change, amend your original booking less than 6 weeks before your arrival please refer to our cancellation policy above.

We warmly welcome families, couples, school and colleges, corporate groups, family and/or friends get-togethers, mini-moons and Hen Parties who are looking for a relaxing, gentle, get-close-to-nature experience. If you are looking for a noisy, festival type of experience then we are probably not for you! Please note for group/hen bookings all three tents must be booked together so that other guests are not disturbed and we do not accept stag parties.

Only guests who have been booked and paid for are allowed on site, day guests may be allowed with prior consent.

If guests are found to be in breach of Hidden Meadows site policies they may be asked to leave and no refund will be given.

Damage Deposit

A £100 refundable damage deposit is required for each tent booked and is payable at the same time as the balance payment is made (should you need to cancel your holiday at any time the damage deposit is refunded in full).

The damage deposit is refunded within 7 days of departure assuming no major breakages/damage has occurred. A charge may also be incurred when the accommodation/site has been left in such a condition that extra cleaning is required.

We will always notify you in advance in the unlikely event of us needing to withhold any part of your damage deposit.

Hot Tub Hire

We have a large wood-fired hot tub for hire as an extra when staying in our Jenny Wren safari lodge or when hiring the whole site as a group booking.

The hot tub must be booked for the whole length of your stay (ie. 3 night stay = 3 day hire). If you are staying for a week or more you can book the hot tub in blocks of either 3 or 4 days hire or blocks of 7 days.Y our hire cost will include your hot tub being filled, heated and ready to use at the start of your stay or if you are staying for 7 nights or more it will be ready to use at your chosen hire start date.

A sack of specially cut logs plus kindling and fire lighters will be provided for each day of hire, more wood can be purchased if needed. Please add the hot tub option to your booking in the extras section on the booking form.

If you have any questions regarding adding the hot tub to your booking please do not hesitate to contact us.

Force Majeure

If Hidden Meadows has to cancel your holiday due to circumstances beyond our control a full refund will be given.

Arrival & Departure

Arrival is from 16:00pm to 20:00pm. Please be aware at the beginning of our season and from September onward it normally gets dark by about tea time, and our glamping site is unlit to preserve the clear night sky, so please bear this in mind when planning your arrival.

Please notify us of your arrival time at least one week before the start of your stay. Whilst we understand that delays whilst travelling can occur it would be really helpful if you could update us on your new expected time of arrival as soon as you can.

Departure is by 10:30am. If you wish for us to collect your luggage please make sure it is at the luggage point between 10:15am and 10:25am.

Dog Policy

When booking a stay with your dogs please be aware only our Kingfisher Safari Lodge accepts up to 2 dogs at a cost of £20 per dog, per stay.

Included in the cost for each dog is a bed or crate with towelling bedding, wipe down towel, poo bags, water and feed bowls and a strong tethering point so you can attach your own long lead.

Please do not allow your dog/s up onto the furniture and under no circumstances are they allowed onto the beds. Dogs must be kept on a lead at all times, even when exercising around any part of the site, and they must not be allowed to worry any wildlife, livestock or chickens, either of which can die from the stress, nor must they be allowed to intrude on other guests as not everyone likes dogs!

At no time must your dog/s be left unattended on site and you must always clear up your dogs waste regardless of where on the site it has been deposited! Failure to comply with these terms may force us to ask you to terminate your stay and no refund will be given. Your booking is your acceptance of these conditions.

Litter Policy

Please help us keep Hidden Meadows safe, clean and pleasant for wildlife and humans by putting all of your rubbish in the bins provided, and not dropping it on the ground or in any water ways. This includes all areas of our site and the car park.

Smoking & Fire Policy

Smoking is permitted outside around the camp fire only and nowhere else on site including the tents and bathrooms. Spent smoking items should be placed in the covered ash trays and, when full, emptied into the landfill bin. Please do not drop smoking items anywhere else on site as this is a hazard to wildlife and may spark wild fires. Please act responsibly when dealing with fire and naked flames and only responsible adults should deal with fires and naked flames. Ensure when you have finished with your camp fire that you you put it out completely and dampen down with water to prevent sparks. For safety reasons camp fires are only permitted at the designated area and absolutely nowhere else under any circumstances.

Due to the high risk of fire candles, oil lamps, naked flames and gas appliances are not permitted inside the tent or bathroom. We do allow tealights provided, they are placed in fire proof holders.

Please do not remove any wood that you may find around the site as these have been left to create beetle banks and habitat for wildlife.

Prohibited Items

Please do not bring any of the following: guns, archery items, fireworks, axes, saws, wood, metal detectors, drones, leisure/car batteries. We also do not accept the bringing or use of sky lanterns.

Hidden Meadows is a natural site with possible natural hazards therefore children should be supervised at all times.
